How to Keep a UAEDDS Direct Debit Mandate File for Dubai Rent

The main points in 30 seconds

Before the first instalment is due, file the bank-confirmed UAEDDS direct debit mandate for the Dubai tenancy. A digital Direct Debit Authority (DDA), generated through the Ejari and noqodi integration, replaces the physical post-dated cheque folder. Store this digital mandate securely on the unit record to maintain a formal payment history.

While direct debit is optional in Dubai and post-dated cheques remain accepted, moving to the UAEDDS (UAE Direct Debit System) for rent changes which documents a property owner keeps on file. Instead of maintaining a physical folder of post-dated cheques for every instalment, landlords should keep a digital Direct Debit Authority (DDA) on file. This digital mandate confirms the tenant has authorised automatic deductions and acts as the primary payment record for the covered schedule. The first payment may be collected separately by cheque or bank transfer, with the mandate covering the remaining dates.

Replacing a safe full of post-dated cheques requires a formal digital process. For a Dubai tenancy, this relies on the integration between Ejari (the Dubai tenancy registration system) and noqodi (a payment portal). The Dubai Land Department has fully integrated with the noqodi Direct Debit system so landlords can configure payment schedules when a lease is created or renewed. This means rent is collected digitally instead of through manually deposited paper cheques. Rather than collecting and logging multiple physical cheques, the system automatically presents the payment claim to the tenant's bank.

When a landlord selects direct debit as the payment method, the schedule is sent to the UAE Direct Debit System. The DLD manual states this schedule cannot be modified within Ejari. This Central Bank-regulated framework requires a confirmed Direct Debit Authority (DDA) to process any deduction. Unlike a paper cheque kept in a drawer, the DDA is a digital mandate the tenant signs electronically. According to directdebit.ae, the tenant cannot unilaterally cancel a Direct Debit mandate once it is active. Only the merchant—the landlord or property management company—can cancel it when the lease is fulfilled. Both parties receive an update once the merchant confirms the cancellation.

To maintain transparency, the system sends SMS and email notifications to the tenant before every scheduled deduction. Once a deduction succeeds, official payment receipts are generated and stored digitally. If an automatic rent deduction fails, the DLD manual states noqodi automatically initiates three retry attempts. If these retries fail, the property management company should apply for a new DDS. After a final failure, a commercial guide notes the system can generate a legally recognised bounced memo, equivalent to a bounced physical cheque. Landlords can retain this memo in the tenancy file as a formal record of non-payment.

Scope of the direct debit mandate file

The direct debit mandate serves strictly as the tenant's formal authorisation for bank deductions. It is a distinct record from a post-dated cheque register, a deposit receipt, or a written demand for outstanding rent. Details such as limits, instalment counts, and specific contract figures are determined by the bank and the lease contract, and are not stated in the mandate file itself. Additionally, the Flexi Rent scheme is a separate voluntary DLD initiative, distinct from a standard UAEDDS mandate. IziRento stores the confirmed mandate on the unit record to maintain the file, but does not place the debit with the bank.

Steps to secure and file the direct debit mandate

Securing the mandate starts in the property system and ends in the payment portal with a digital confirmation. The landlord or property management company typically completes this setup before the first instalment is due to ensure all dates are correct.

File the digital mandate confirmation

  1. Set up the beneficiary account in Ejari

Before generating a payment schedule, the landlord or property manager must add their receiving bank account as a beneficiary in Ejari. This ensures the funds route correctly.

  2. Configure the rent payment schedule

When creating or renewing a lease, the landlord selects direct debit as the payment method. They enter the exact date and amount for each planned payment, replacing the need to write dates on physical cheques.

  3. Submit the Direct Debit Authority (DDA) to noqodi

Clicking "Submit DDA" in Ejari sends the tenant details and the payment schedule to the noqodi portal. The DLD manual notes that once submitted, this schedule cannot be modified within Ejari. A landlord cannot simply edit the dates if the tenant requests a delay later.

  4. Obtain the tenant's digital signature

According to the DLD manual and directdebit.ae, the tenant logs into the noqodi portal and signs the Direct Debit System form using UAE PASS.

  5. File the confirmed Direct Debit mandate

Once the tenant signs, the system issues a confirmed Direct Debit Authority. Landlords should retain this digital mandate in the unit’s tenancy file. It serves as the formal payment record for the instalments covered by the mandate, keeping in mind that direct debit is optional and initial payments may still be collected by cheque.

  6. Handle payment failures and the bounced memo

If a tenant's account lacks funds on the due date, the system attempts automated retries. On final failure, commercial guides state the system generates a bounced memo equivalent to a bounced cheque. If retries are exceeded, the DLD manual advises the property management company to apply for a new mandate.

FAQ

Does a direct debit mandate replace the signed instalment schedule?

The mandate authorises the bank deductions, but it does not replace the lease's core instalment schedule. The schedule is configured in Ejari and sent to noqodi via the "Submit DDA" action. The digital mandate serves as the tenant's formal authorisation of that schedule, which the DLD manual notes cannot be modified in Ejari.

Is the cheque register still needed?

The post-dated cheque register is a separate file. If the tenant settles rent exclusively through the UAEDDS direct debit integration, the physical cheque folder remains empty for those specific instalments and the landlord files the digital mandate confirmation instead. However, the register is still required to log any initial or separate instalments settled by physical cheque.

Does the product place the debit with the bank?

No. IziRento stores the digital mandate in the property file so the landlord has a secure record of the Direct Debit Authority. It does not place the debit with the bank, execute the financial transaction, or interface with the tenant's bank account.
