What a Rent Receipt Must Show So One Payment Is Not Lost

Write one slip per payment: date received, period, amount, method, property, who paid, who received. Cash: signed copies both sides. File against that period.

Key takeaways

Knowing what a rent receipt must show landlords UK keeps one payment on a dated slip: date received, period from–to, amount, method, property, who paid, and who received. Cash needs a signed copy both sides the same day. A leftover stays on a partial. File the slip against that period, then stop.

A bank ping or a WhatsApp “got it” is not the file. One payment needs one slip with seven fields: date received, the period covered, amount, method, the property, who paid, and who received. Write it the same day the money lands. Cash gets a signed copy both sides the same day. A leftover stays on the slip if the payment was short. Then file it against that period.

Saturday, one let in Bristol. Pia’s tenant puts £850 cash on the table for “April and a bit of May”. She texts “got it” and drops the notes in a drawer. In September they swear May is paid in full; she swears £200 is still out. A same-day slip — 1 Apr–30 Apr £800 plus 1 May–31 May £50, leftover May £750, both names signed — would have been the file.

A bank statement proves money moved. It does not name the rental period. LandlordStudio (updated 12 March 2026): a receipt proves one payment on a specific date; a statement is the running ledger. Need proof of one payment? Send a receipt.

Why does a rent receipt differ from a rent schedule?

A rent receipt is one slip for one payment on one date. A rent schedule is the running row of due versus paid versus leftover across periods. Do not start a new ledger because cash landed. Write the slip, then attach it to the period it covers.

Do write one receipt per payment. Do not rebuild who-paid-which-period here — that job already lives on the rent schedule neighbour. In practice, if they ask whether they are up to date, send a statement. If they ask whether this £850 landed, send a slip. England and Wales have no general duty to issue a receipt for every monthly transfer. Weekly rent wants a rent book under LTA 1985 s.4, not this PDF. The How to Rent pack and the Renters’ Rights Act Information Sheet are a different document (GOV.UK, 1 May 2026). Fill a payment slip. Stop.

Weekly rent is a rent book, not this PDF

If rent is payable weekly, the statute wants a rent book (LTA 1985 s.4–5), not a homemade monthly PDF. Still fill the same fields when cash lands. Do not treat s.4 as a monthly cash-on-request rule.

What does one receipt have to show so November still finds the payment?

Fill seven fields the same day the money lands so November can open a dated payment, not a thumbs-up. Date received is the day cash hit the hand or the credit hit the account, not the due date. Period covered is from–to. Amount, method, property, who paid, and who received close the rest.

Do write the period dates. Do not write “rent received” with a blank from–to — that is the later argument. Rocket Lawyer (last reviewed 22 April 2026) lists date received, period from–to, payable versus paid, leftover, method, property, who paid, and who received. Wonder.legal (revised 25 June 2026) matches. Joint tenants who pay separately get one slip each. Who received is you or the agent, signed. For example, Pia’s “got it” had none of these boxes.

What to write extra when the rent arrives in cash?

Cash has no bank trail, so the paper is the trail. Write the amount in figures and words, set method to cash, and keep a signed copy both sides the same day. A photo of the notes is not the receipt. A slip dated weeks later is weaker.

Do write figures and words. Do not treat a drawer of notes as the file. SelfLandlord says issue the cash receipt the same day. Both sides sign and keep a copy; a scan is fine. Typical mistake — and a risk: treating England as if it forced a cash receipt on request. The statute here is the weekly rent book. Scotland is different — cash needs a written receipt stating the amount and either the leftover or that nothing remains outstanding (2016 Act Schedule 2). This card is England. Use that leftover pair as the model line, then stop.

A WhatsApp “got it” is not a receipt

Chat has no period dates, amount, method, leftover, or who-received signature. Treat it as a pointer. Write the slip the same day.

How do you write a leftover, or two periods in one transfer?

Always write the period dates. If one transfer covers two periods, name both and the pound split on this slip, or issue two slips the same day. A partial must state amount due, amount paid, and the balance left — or £0 / paid in full. File each slip against its period.

Do write the leftover on the slip. Do not log a short payment as “paid”. Pia’s £850 needed 1–30 Apr £800 and 1–31 May £50, leftover May £750 — not a thumbs-up. Citizens Advice England: if you pay arrears in one go, get a receipt in writing. If the leftover then sits unpaid, the chase file is the first 30 days neighbour, not a second receipt article. Two months in one ping is still a slip job. Then stop.

How do you file the slip so it stays on that period?

Clip or save the PDF next to the period row and the bank line. Email is fine if you keep the sent item. Deposit money does not go on this slip. Then stop. Logging the payment the week it lands is a different card.

Do file the slip against that period. Do not rebuild the spreadsheet columns here — that is the spreadsheet process neighbour. GOV.UK (updated 19 March 2025): keep rent books, receipts and bank statements at least five years after the 31 January deadline. Cite that clock; do not open a tax-return how-to. Success bar: fill one slip the day money lands, name both periods if one transfer covers two months, refuse a WhatsApp “got it”, keep a signed cash copy each side, write the leftover, clip it to that period, and stop. Verify that checklist. Workflow: Open a slip → Fill seven fields → Sign cash copies → Write leftover or split → File against the period → Stop. An IziRento workspace can hold the lease, the payment and the slip PDF on the same record.

Stop at the slip

One payment, seven fields, cash copies if needed, leftover if partial, filed against that period. Do not rebuild the schedule or the spreadsheet habit.

Fill one rent receipt the day the money lands

  1. Open a blank slip, not a schedule

One payment equals one receipt. Weekly rent goes on the rent book. Do not start a running-balance sheet.

  2. Fill the seven fields the same day

Date received (not the due date). Period from–to. Amount (cash: figures and words). Method. Property. Who paid. Who received, signed.

  3. If it was cash, both sides keep a signed copy

Hand the tenant theirs before they leave. Scan yours the same day. A photo of the notes is not the slip.

  4. If it was a partial or two periods, write the split

Amount due, amount paid, balance left. Two months in one ping: name both periods and the pound split, or issue two slips.

  5. File the slip against that period

PDF or paper next to the period row and the bank line. Keep the sent email. Deposit money stays off this slip.

  6. Stop

Do not rebuild who-paid-which-period or the spreadsheet habit. Do not treat a WhatsApp “got it” as done.

FAQ

Do I need a receipt for a bank transfer?

Not as a general England duty. Rocket Lawyer (22 April 2026) and LegalDocuments: receipts are not a legal necessity for a monthly transfer. What if they paid two periods in one transfer?
