How to Take Inventory Photographs That Still Make Sense at Check-Out
Stand in the same corners, shoot wide then a close-up with scale, keep daylight originals with EXIF, and write each photo ID on the matching inventory line.

Key takeaways
How to take inventory photographs landlords UK is the same corners every visit, a wide then a scaled close-up, daylight originals with EXIF, and a photo ID on the matching written line. The Tenancy Deposit Scheme treats stills as a supplement to the written word. Default WhatsApp send strips EXIF. Stand in the doorway, shoot wide then close-up with a ruler, keep the original JPEG, and write the photo ID on the matching line.
Inventory photographs that still compare at check-out use the same corners every visit, a wide shot then a close-up with a ruler or keys in frame, daylight originals with EXIF intact, and a photo ID on the matching written line. A dark hallway WhatsApped to yourself, then a different corner in evening light six months later, is not that file.
Check-in was a Saturday rush. Owen photographed the lounge from the doorway, then a scratch from two metres away, then sent the lot on WhatsApp so it was “backed up”. At check-out he stands in a different corner, in evening light, with a Beauty filter still on. The scratch has no scale and no EXIF — camera metadata such as capture time, stored in the original file. The written line says “walls good”. The folder is one Camera Roll dump of IMG_4821. The risk is that dump: no capture time, no scale, no matching line.

How do you stand in the same corners so check-out can compare?
Stand in the doorway, then the opposite corners, phone level at chest or standing height. Note a landmark — a window bar, a radiator, a door hinge — so you can repeat the frame months later. Check-out photos only help if the start shots are comparable. Do not invent a new angle because the sofa moved.
Do lock the corners before you shoot defects. Do not wander and hope the later set “looks similar”. TDS: end shots only help if start shots are comparable. The check-out report walks this set later. In practice, caption the first wide (“lounge, window-left corner”) so you can stand there again.
This is a media standard, not a room-by-room schedule. The written inventory lives on the check-in inventory guide. A mid-lease ticket walk is the periodic inspection checklist. Here you only need frames that will still match.

A new corner is not a comparison
Typical mistake: check-in from the doorway, check-out from the window, evening light. Nobody can see what changed.
Why shoot a wide shot then a close-up with scale?
For every mark that might be argued later, take one wide that shows which wall, then a close-up that fills the frame with a ruler, keys, or a coin for size. A scratch from across the room is invisible; a tight crop has no room. Photograph good walls and floors too, or you have no baseline.
Do pair context and detail. Do not send a mystery close-up with no wall. TDS: sloppy shots fail on scale and perspective. NRLA: keys or a phone in frame show size. Practice close-up is about 15–30 cm after a corner overview. Standard lens — ultra-wide distorts a chip.
For example, a lounge east-wall scuff needs the wide that shows the radiator, then the close-up with a 15 cm ruler along the mark. Skip meter faces and a room-order dump. You are teaching the camera, not rewriting the schedule.

What each shot has to prove
| Shot | What it proves | Typical miss |
|---|---|---|
| Wide / corner | Which room and wall | New angle at check-out |
| Close-up with scale | Size of the mark | Tight crop, no ruler |
| Good-condition baseline | It was fine here | Only photographing damage |
| Video walkthrough | Spoken context | Video instead of labelled stills |
What light and files should you keep?
Open the curtains, turn every room light on, and keep bright windows behind you or shoot twice. Avoid flash except windowless cupboards. Leave Beauty, Dramatic, and night-mode filters off. Shoot in the native Camera app and keep the original JPEG or HEIC, not a screenshot.
Do light the room like the next visit. Do not let a filter invent colour. TDS: lighting and weather change how a room looks. Daylight first, lights on, flash off unless there is no window. Retake blur. Export the original — iCloud “Optimize” can serve a compressed copy.
Shoot a comparable inventory set
Fix the phone before you enter
Highest resolution; do set date and time automatic; filters off; lens wiped.
Stand in the same corners
Doorway, then opposite corners, phone level. Note a landmark for check-out.
Wide, then close-up with scale
One overview that places the wall, then a close-up with a ruler, keys, or a coin. Shoot good condition too.
Light like the next visit
Curtains open, lights on, flash off unless the cupboard is windowless. Retake blur now.
Keep the original
Leave files in Camera / Files. If you must message, send as Document, or email / cloud the original.
Name and store the same day
Folders: property / unit / event / YYYY-MM-DD / room. Cloud that keeps originals, not a storage-saver compress.
Pair each photo to the written line
Do write the photo number on the inventory line; do file the original the same day; put room, item, and what it shows in the filename.
Why does a default WhatsApp send weaken the timestamp?
Default WhatsApp image send recompresses the file and strips EXIF, so the copy in the chat gets a new save date. The adjudicator wants to know which property and when. Send as Document, email the original, or upload a cloud link. Spot-check the metadata before you file the set.
Do set the phone date and time on automatic. Do not treat a chat download as the evidence copy. HostProof (22 April 2026): default send strips EXIF (~70% recompress). A 2025 forensic note: image mode wipes metadata; send-as-document kept EXIF. TDS: digital files can be altered, so useful photos are high quality and dated digitally — ideally in a locked PDF.
WhatsApp image send
- Fast doorstep “backup”
- Recompresses; strips EXIF; new save date on the chat copy
Document / email / cloud original
- Keeps capture time and the original JPEG or HEIC
- One extra tap: Document, AirDrop, email, or a cloud link

How do you name and pair each photo to the written line?
A photo without a matching written line is weak evidence. Photographs supplement the written word; they do not replace it. Folders go property / unit / event / date / room. Write the photo number on the inventory line, and put the room and item in the filename.
Do write the room and item into the filename so any adult can pull “lounge east wall, 2026-09-09, photo 12”. Do not leave 80 files called IMG_4821. TDS: label date, time, room, what it shows; number them. Practice naming: `12HighSt_1A_checkin_2026-09-09_lounge_12.jpg`.
An album or a long video without a written report is limited. LetSafe: a walkthrough does not replace stills. If you film, TDS wants a timestamped pointer (“at 3 min 48 sec…”). Embed stills or attach a numbered list the same day. Faces, post, medication, family photos can be personal data; AIIC (5 August 2026) and the ICO personal-data definition: ask to move items, reframe to fabric. Do not reuse inventory shots for a listing.
Workflow: Fix the phone → Same corners → Wide then scaled close-up → Daylight originals → Keep EXIF (no WhatsApp image send) → Name by property / date / room → Pair each file to the written line.
Success bar: same corner, wide then scaled close-up, original JPEG or HEIC with EXIF, no default WhatsApp send, property/date/room folders, photo ID on the matching line. Verify that checklist before you close the file. Then stop with confidence. IziRento is operations software for that record — not a clerk or a lawyer.
Stills still need a line
A Camera Roll dump is not an inventory. Number the photo, write that number on the matching line, file the original the same day.
FAQ
Is a video enough on its own for a property inventory?
No. Video supplements the written report; it does not replace labelled stills. If you send video, point to the exact moment (“at 3 min 48 sec…”).
How many inventory photos per room do UK landlords need?
No statute sets a count. Practice is 2–3 overviews, one per wall, the floor, plus close-ups of marks. The test is whether you can see the condition and find this corner again.
What if the tenant objects to personal belongings in the inventory photos?
Pause. Ask them to move post, certificates, medication, and family photos. Reframe to fabric. Those items can be personal data; empty-room fabric usually is not. Do not reuse shots for a listing.
Does sending inventory photos on WhatsApp keep the timestamp?
Default image send usually does not. It recompresses the file and strips EXIF, so the chat copy gets a new save date. Send as Document, or email / cloud the original.
How do I write the room-by-room schedule of condition?
That written inventory is a different file. The check-in schedule lives here: https://izirento.com/en-gb/blog/check-in-inventory-schedule-of-condition
What belongs on the tenancy check-out report itself?
The empty-home comparison walk, not this media standard. Check-out report: https://izirento.com/en-gb/blog/tenancy-check-out-report-checklist
Where do these photos go if a deposit dispute starts later?
Into a labelled evidence pack, not a Camera Roll zip. How to assemble that pack: https://izirento.com/en-gb/blog/deposit-dispute-evidence-pack
Keep the named originals next to the line
Properties, leases, inspections and related records in one workspace.
Try the workspaceStand in the same corners, shoot wide then a close-up with scale, keep daylight originals with EXIF, and write each photo ID on the matching inventory line.
